Automating Concert Planning

Concert Planner does the bookkeeping of a concert for you, so the people planning it spend their time on the concert.

Start from a task list

Most concerts are run from a tracker: a spreadsheet of everything to be done, who owns it and how far out it is due. Save it as CSV and import it. Every row becomes a task with its own ID, grouped into its workstream, with the person responsible matched to your contacts.

  • Timings written as words, such as "2-3 weeks out", are turned into due dates counted back from the concert date.
  • Tasks timed "Immediate" or "Ticket launch" take the ready-by date you give at import.
  • You choose who the tasks are recorded as created by: whoever wrote the tracker.
  • You see what the import will do before anything is written.

Importing again is safe

Import the tracker again later and only new rows are added. A task that has moved on in the tracker moves forward here, but nothing ever moves backwards: a task marked done on the site stays done, whatever an older copy of the tracker says.

Or make your own

No tracker? Install the starter task list in one step: 235 tasks covering a whole concert, from booking the venue to the thank-yous, with roles such as Concert Manager and Stage Manager in place of people. Create New Concert offers it at its last step, and a concert with no tasks offers it at the top of its Tasks page. Then delete the tasks you do not need. Or start with an empty list and add tasks as you think of them. New tasks get the next ID in the concert's series.

Remembered for you

  • Your filter on the task list is kept, so the list opens the way you left it.
  • Frames you close stay closed, on any computer you sign in on.
  • Signing in takes you back to the last page you were on, until that concert's date has passed.
  • Add a task remembers the workstream and person you used last.

Where: open the concert, then Task List, then Import tasks. Create New Concert offers the same import as its last step.
