Creating Tasks and Marking them Off

Every task is one clear item: what is to be done, who is doing it, and when it is due.

A task

  • ID: each task keeps its ID for good, such as XMAS-012, even when it moves to another workstream.
  • Workstream: the group it belongs to, such as Venue, Marketing or Front of house.
  • Person responsible: a person, or a concert role, so the task follows whoever holds the role.
  • Due date: shown as a date, or as weeks out from the concert if you prefer that in My settings.
  • Third party: the venue, supplier or contact outside the team that the task depends on.
  • Time required: an estimate in minutes, or the actual time once known.
  • Notes: anyone working on the task can add notes. They save as you leave the page.

Adding a task

Use Add a task at the top of the task list, or the add button under a workstream's heading to put it straight into that workstream.

Marking a task off

Marking off is two steps, so the concert manager stays in control without doing every task:

  1. The person responsible opens the task and presses Mark done. The task shows as Marked done.
  2. The concert manager checks it and presses Sign off. The task shows as Signed off and its text turns grey.

Next to sign off on a task's page walks the concert manager through every task waiting for sign-off, one after another.

When a task is stuck

Raise a blocker on the task: waiting on a third party, depending on another task, a decision needed, or something else. The task shows a Blocked badge and appears under the Blocked tab until whoever clears it marks it resolved.

Where: open the concert, then Task List. The tabs across the top give All, My tasks, Behind schedule, Awaiting sign-off, Not signed off and Blocked.
